Private 1:1 advisory for established dental practice owners
The practice works. It just takes far too much to keep it working.
Diary, recalls, handovers, reporting, the admin that eats your evenings. Systemising is the fourth step, not the first — and that ordering is what makes it stick.

If you’ve said any of these
- “Everything depends on someone remembering.”
- “Revenue’s up, profit isn’t.”
- “Our diary has holes we can’t explain.”
- “We’ve documented things nobody follows.”
- “I do admin at nine at night.”
What it usually really is
Most practices systemise work that shouldn't exist.
Documenting a broken process makes it permanent. Before anything gets written down or automated, we delete: the reports nobody reads, the approvals nobody needs, the double handling nobody noticed. Then simplify, then delegate, then systemise, then automate — and only then consider AI. In that order, a handful of changes gives back hours a week and holds when someone is on leave.
Ninety days in
What’s different, specifically.
- A shorter list of things the practice actually does.
- Three numbers reviewed weekly, understood by the team.
- Diary and capacity designed rather than inherited.
- Recalls and follow-up that don't rely on memory.
- Owner admin materially reduced.

How we’d work it
No twelve-module curriculum. Five moves, in order.
01
Delete
Everything the practice does out of habit rather than need.
02
Simplify
Fewer steps, fewer handovers, fewer places to get it wrong.
03
Delegate
To a named person with the authority to actually run it.
04
Systemise
Written once, short, and used — not a manual nobody opens.
05
Automate, then AI
Two or three practical things that stick. Never a technology project.
Proof
Systems that survive the owner leaving the room.
In Rhea's own practice, owner involvement is now largely strategic. That is only possible because the operating detail lives in the team and the systems rather than in the owners' heads.
Straight answers
We've tried documenting everything before and it didn't stick.
That's the usual result of systemising first. Documentation only holds when the process is already simple, already owned by someone, and already the way the work is genuinely done.
Which numbers should I actually watch?
Far fewer than most dashboards suggest. Three, reviewed weekly by the team rather than monthly by you, will change more behaviour than a twenty-metric report.
Where does AI fit?
Last, and narrowly. It's an enabler for admin and communication, not a strategy. See the practical AI page for where it genuinely helps.
